Refund & Cancellation Policy

This policy applies to BrainDrive’s paid services — BrainDrive Concierge (managed hosting) and BrainDrive Models (pay-as-you-go AI credits) — operated by BrainDrive LLC. It is part of our Terms of Service.
Your BrainDrive is always yours. Cancelling a paid service or exhausting your credits does not affect your self-hosted BrainDrive installation or any data on it. You can always run BrainDrive on your own hardware at no cost.
BrainDrive Concierge
Subscription & Billing
- BrainDrive Concierge currently costs $25 per month. Pricing may change with 30 days’ notice (see Terms of Service).
- Your subscription automatically renews each month. By subscribing, you consent to recurring monthly charges until you cancel.
- Payments are processed by Stripe. BrainDrive never sees or stores your credit card number.
- You will receive an email notification 3–7 days before each renewal with the renewal date, amount, and instructions for how to cancel.
How to Cancel
You can cancel your subscription at any time from the billing settings page in your BrainDrive account. Cancellation takes one click — no phone calls, no emails, no hoops to jump through.
- Cancellation is effective at the end of your current billing period. You retain full access to the service until then.
- After your billing period ends, your hosted instance is suspended and your data is preserved for 30 days.
- During the 30-day preservation period, you can log in and export your data (Library files and database) at any time.
- After 30 days, your data is permanently deleted from our active systems (containers, volumes, and databases are destroyed).
- Encrypted backups may retain your data for up to 90 days as backups naturally rotate per our retention schedule. These backups are encrypted, access-restricted, and used only for disaster recovery.
- Your self-hosted option remains. You can continue using BrainDrive on your own hardware at no cost. If you exported your data, you can import it into a self-hosted instance and pick up where you left off.
Concierge Refunds
- No prorated refunds. We do not provide refunds for partial months or unused portions of your subscription. When you cancel, you keep access through the end of your paid period.
- Service issues. If you experience a significant service disruption or technical issue that prevents you from using BrainDrive Concierge, contact us at info@braindrive.ai. We handle refund requests for service issues on a case-by-case basis.
- We do not provide refunds for dissatisfaction, change of mind, or failure to cancel before a renewal date. The pre-renewal email notification is designed to help you avoid unwanted charges.
Failed Payments
If a payment fails:
- Stripe retries the charge according to their retry schedule (typically 3–4 attempts over several days).
- If all retries fail, your account enters the same flow as a cancellation — your hosted instance is suspended and data is preserved for 30 days with export available.
- After 30 days without a successful payment, your data is permanently deleted from active systems.
- You can reactivate your account at any time during the 30-day window by updating your payment method.
BrainDrive Models
How Credits Work
- BrainDrive Models credits are one-time purchases, not a subscription. There is nothing to cancel and no recurring charges.
- You purchase credits, receive an API key, and use that key in your self-hosted BrainDrive to access AI models through BrainDrive’s infrastructure.
- Your credit balance decreases as you use AI models. When your balance reaches zero, your API key stops processing requests — no charges are incurred beyond your purchased balance.
- You can add more credits at any time by making another purchase.
Credits Refunds
- Credits are non-refundable. Once purchased, credit balances cannot be converted back to cash or refunded, except as required by applicable law.
- Service issues. If you experience a technical issue that prevents you from using purchased credits (e.g., our service is down for an extended period), contact us at info@braindrive.ai. We handle these requests on a case-by-case basis.
- Chargebacks. If you initiate a chargeback or payment dispute with your bank, your API key will be automatically revoked and your remaining credits will be forfeited. If the dispute is resolved in BrainDrive’s favor, your key and credits will be reinstated. We encourage you to contact us at info@braindrive.ai before going to your bank — most issues can be resolved quickly.
Credit Expiration
- Credits do not expire as long as your account is in good standing.
- BrainDrive reserves the right to introduce an expiration policy in the future with at least 90 days’ written notice to affected users.
What Happens When Credits Run Out
Your API key stops processing requests. That’s it. Your self-hosted BrainDrive continues to function — you can use local models (e.g., Ollama), configure your own API keys to third-party providers, or purchase more BrainDrive Models credits whenever you’re ready.
Data Export
You can export your data at any time — while your Concierge account is active, during the 30-day preservation period after cancellation, or directly from your self-hosted BrainDrive (where your data is already on your device). The export includes your full Library and database as a downloadable zip file.
We believe your data belongs to you. Exporting it should always be easy.
